A productivity app helps only if it fits a routine you already have. Before adding another AI feature, identify the repeated handoff or admin task that interrupts your work and decide what success would look like.

Choose a workflow, not a trend

Examples include turning a meeting transcript into action items, searching a set of notes or drafting an outline. Start with the apps your team already uses and compare whether a built-in assistant can handle the task with fewer steps.

Check integration and control

Look for supported file types, access permissions, sharing controls, export and clear data settings. A connected app may process more of your workspace than a standalone chat, so understand what it can read and who can manage it.

Measure the benefit
